Program Reporting & Monitoring
- Mid-year report: Mid-year reports are submitted in WebGrants, the City’s online grants management system. The WebGrants user guide provides step-by-step instructions for completing and submitting the mid-year report. The mid-year report includes sections to enter data on program delivery, and narrative responses to questions.
- Annual report: Annual reports are submitted in WebGrants. The WebGrants user guide will be updated by June 15 with instructions for completing and submitting the annual report. The annual report includes sections to enter data on program delivery, narrative responses to questions, and demographic data on children served in the program.
- After school and mentoring program participant lists: By July 1, PCL will send you a participant list form to complete for all youth served who met the program participation goal. At that time, PCL will provide instructions on how to submit the completed form to your grant manager. The participant list is NOT submitted in WebGrants.
- Organization demographic reports: Each organization funded by PCL must annually report demographic data on all clients, staff, and board members of the organization. PCL will contact grantees by July 1 with the report and instructions to complete and submit it to PCL. This report is NOT submitted in WebGrants.
- Report due dates:
- Jan. 31: Mid-Year Progress Report
- July 31: Annual Report (all grantees), and Participant Lists (After School and Mentoring grantees only)
- Sept.1: Annual Organization Demographic Report (clients, staff, board)
- If due dates fall on a weekend, submit reports on the next business day. If you need an extension on a deadline, contact your grant manager.
